An exciting opportunity has become available for a highly experienced Clinic Co-ordinator to join our client, an established private practice Allied Health Clinic with Visiting Specialist rooms based around the inner eastern suburbs of Brisbane. This position is primarily responsible for directing and managing the day to day activities of the administration and clinical teams to ensure the smooth running of the clinic. This newly created role will report to the Business Manager of the group.
This is a full time permanent position, 38 hours a week (rostered between 7:30am and 5pm, Monday to Friday). Some flexibility around the working hours will be a requirement of this role to suit the operational needs of the practice.
Your key responsibilities will include:
- Managing the front desk reception and maintaining the administration processes of the practice
- Overseeing the day to day performance of administration staff (including the induction, assisting with new staff orientation and training of new and existing staff to the practice)
- Managing WorkCover authorisations for patient treatment appointments and programs
- General reception support – taking and responding to general patient enquiries, scheduling of patient appointments, maintaining accurate appointment schedules/diary and ensuring the smooth day to day running of clinics
- Overseeing the patient billing and receipting, which would include account management of remote site billings
- Maintain daily and monthly business reconciliations to assist in the completion of quarterly and yearly business reporting together with debtor management
- Provide administrative support to the Business Manager and to other staff across the practice (including staff rosters and approval of staff timesheets)
- Manage and coordinate the sessional rooms and physiotherapy bookings, quotations and billing requirements
- Liaison with potential new clients for sessional rooms
- Assist with marketing strategies and execution of marketing plan
- Attending to incoming mail and email correspondence
- Maintain all reception equipment, treatment areas and storage areas to a clean, functional and tidy standard.
- Assist with the preparation of materials and equipment for use by the physiotherapist and patients
- Manage all aspects of Core Plus practice software
- Maintain stock control
Ideally, you will be a confident and experienced Medical Receptionist and/or Clinic Co-ordinator with at least 3 years experience in a similar practice. Previous knowledge and experience with WorkCover Queensland and Third-Party claims would be advantageous. Solid communication and organisational skills are essential.
You will be a proactive individual with a pleasant demeanour who can motivate staff as well as hold strong computer/IT skills. Previous experience with Core Plus software would be highly favourable. A competitive salary is on offer for the right candidate.
