An exciting opportunity has become available for an experienced Senior Receptionist/Clinic Co-ordinator to join our client, an established private practice allied health clinic based around the inner northern suburbs of Brisbane. This position is primarily responsible for directing and managing the day to day activities of the administration and clinical team to ensure the smooth running of the clinic as well as providing the patients with a first class experience.
This is a full time permanent position, 38 hours a week (rostered between 7:30am and 6:30pm, Monday to Friday). Some flexibility around the working hours will be a requirement of this role to suit the operational needs of the practice. The position is available for an immediate commencement.
Your key responsibilities will include:
- Managing the front desk reception, medical typist and physiotherapy assistants, including the rostering of staff, recruitment and induction of new staff to the practice, orientation and training of staff, performance reviews and managing the day to day HR activities for a small practice
- Reception support, taking and responding to general patient enquiries, scheduling of patient appointments, maintaining an accurate appointment schedule/diary and ensuring the smooth day to day running of the clinics
- Overseeing the patient billing and receipting and ensuring complete accuracy with this process
- Maintain daily and monthly business reconciliations to assist in the completion of quarterly and yearly business reporting
- Provide administrative support to the owner of the business and to other staff across the practice including typing of confidential patient reports, memorandums, developing new policies and procedures, minutes of meetings and any ad-hoc project administration work as required
- Maintain accurate record of goods/stock – ensuring supplies are ordered and received, checked against invoice/delivery dockets.
- Attending to incoming mail and email correspondence on behalf of the owner and responding to this correspondence in an appropriate manner
- Maintain all reception, equipment, treatment areas and storage areas to a clean, functional and tidy standard
- Assisting with the preparation of materials and equipment for use by the physiotherapist and patients
Ideally, you will be a confident and experienced Senior Medical Receptionist and/or Clinic Co-ordinator with at least 2 years experience in a similar practice. Solid communication and organisational skills are essential. You will be a proactive individual with a pleasant demeanour who has the ability to motivate staff as well as hold strong computer/IT skills. Any exposure to PPMP or Smartsoft Front Desk software will be viewed favourably.
You will be resilient, calm and able to work effectively under pressure to manage a dynamic and demanding environment. Empathy, discretion and the ability to deal with sensitive, confidential information is essential.
